As event professionals, we know what is important when organizing a congress. That's why we support you with the planning right from the start. The following step-by-step guide gives you a rough overview of the most relevant components of the organization process – regardless of whether you want to organise a conference or congress.

Not all congresses are the same. From scientific symposia to annual general meetings, the range of congress formats is diverse. The first step is therefore to decide what type of congress you would like to organize. This usually results in further specifications such as the topic, the duration of the event, the lead time, etc.

These two items go hand in hand, as popular congress locations are booked out quickly. You should therefore start planning well in advance and also have alternative dates ready in case your preferred location is already fully booked on one date. 

The choice of venue is closely linked to the previously defined objective of the congress. The following are important factors when choosing a location: Number of participants, event budget, accessibility (e.g. travel options, distance to participants' homes), infrastructure (in particular accommodation, restaurants, options for supporting programs) and equipment of the location (technology, interior, branding options, etc.). 

Based on the congress location, you can now plan everything else for your congress. Check what equipment is already available and what additional equipment you may need to hire. Chairs, tables, flipcharts, projectors, screens and Wi-Fi are usually available in every larger event location. However, technical equipment in particular (such as microphones, digital whiteboards, a camera system, etc.) often has to be hired separately. Think about the type of seating (theater, seminar, block, etc.) in advance.

Once a suitable congress location has been found, the next step is to plan accommodation, catering and the supporting program. The type of accommodation depends largely on the budget. This also brings up the important issue of catering. Is breakfast provided in the hotels and apartments or will the participants get it at the congress center? Should there only be a quick lunch, e.g. as a flying buffet? Will dinner be served together or separately? Are there special theme evenings that require a certain dress code? You should also think about the supporting program during the congress in advance. What options are there on site? Is participation voluntary or compulsory? Does the social program require a certain choice of dress, which must be communicated in advance?

The rough content planning already takes place in step #1. Now it's time to finalize it and draw up a precise schedule. You now know when the participants will arrive, what the meal times are and which supporting and evening programs are already on the agenda. Now is also the right time to finalize the selection of speakers. Marketing should also be in full swing by now at the latest.

You should allow at least 12 months' lead time for organising a conference. Early planning is crucial, especially for larger events or international conferences, as popular dates and locations are quickly snapped up. Organising in good time also gives you enough time to prepare the content, speakers, hotel accommodation and supporting programme in the best possible way. For smaller conferences or seminars, the lead time can be shorter, but we still recommend coordinating as early as possible. The largest hall at Gurgl Carat, the Schalfkogel, can seat up to 500 people in theatre style. Capacity varies depending on the seating arrangement: theatre style allows for the maximum number of seats, while banquet, seminar or U-shaped seating allows for fewer seats. This allows you to tailor your conference or meeting to the desired format. Mobile partition walls and flexible room concepts also allow smaller groups to be seated separately. Yes, hotel rooms within walking distance can be reserved and managed centrally. There are more than 20 four- and five-star hotels and numerous apartments available in the immediate vicinity of the Gurgl Carat. This means that all participants in your conference or congress will be comfortably accommodated – and only a few minutes' walk from the venue. On request, we can take care of quota management, making the entire organisation process easier. For your guests, this means short distances and maximum comfort; for you, it means a smooth process.

Since summer 2025, Gurgl Carat has been a holder of the Austrian Ecolabel. This enables resource-saving meetings and events to be held, with a focus on environmental awareness, regionality and quality. Visitors benefit from easy access without their own car, a well-thought-out waste management concept, barrier-free facilities and regionally sourced, fairly produced catering, among other things. 

Travel to conferences and meetings is convenient and can be organised efficiently. Guests can arrive by train, plane or car, and shuttle services are available on site. There are dedicated loading zones with coordinated time slots for technology and equipment, so that trucks and deliveries can be loaded and unloaded without any problems. Parking spaces and e-charging stations are also available. This means that both participants and organisers are well catered for – from comfortable travel to professional logistics behind the scenes.

25 breakout rooms are available in parallel and can accommodate groups of between 10 and 110 people. They are perfect for workshops, working groups or confidential discussions during your conference.
