What is a stand-up meeting?

A stand-up meeting is a short (daily) meeting that typically takes place while standing. It is designed to give team members a quick overview of current projects and tasks. During the meeting, team members briefly report on their progress, if there are any problems and what they have planned for the day. The meeting is intended to help improve communication within the team, identify bottlenecks early on and promote collaboration. Stand-up meetings are limited in time, usually lasting between 10 and 15 minutes. Participants stand during the meeting to ensure that it remains efficient and focused. Visual aids such as a Kanban board are often used to keep an overview of the tasks. Regular stand-up meetings help teams coordinate their work, eliminate obstacles and increase productivity.

How does a stand-up meeting work?

  1. Welcome by a presenter (or scrum master or agile coach), brief explanation of the meeting rules, defining the time frame (max. 15 minutes).
  2. Each team member reports on the progress they have made on their tasks since the last meeting. In the case of a daily stand-up meeting, the question is as follows: "What did I get done yesterday?"
  3. There is also space to report on challenges and possibly ask other team members for support. Use the following questions as a rough guideline: "Were there any problems that arose when completing the task?" and "Can other team members contribute to the solution?"
  4. Together with the presenter, each team member defines their goals and tasks that should be completed by the next stand-up meeting. In the case of a daily meeting, this answers also the question "What is planned for today?"
  5. After a final summary of all the main agenda points and a brief outlook on the day/week, the stand-up meeting ends.

Rules for stand-up meetings at a glance

  • A stand-up meeting is held standing up so that it is as effective and time-saving as possible.
  • Regardless of whether the meetings take place daily or weekly, the structure and timing always remain the same.
  • There is a precisely defined time frame of a maximum of 15 minutes. The general rule is: the shorter, the better. Punctuality of all participants is mandatory.
  • presenter/scrum master/agile coach starts and ends the meeting, pays attention to the time limit and presents topics and speaking times.
  • All participants are well prepared and every team member has the chance to speak.
  • No detailed discussions are held and no other topics are addressed.
  • Kanban board, for example, can be used as an aid by also providing structure on a visual level.

Advantages of stand-up meetings

Time saving:

Due to the time limit of the meeting and the fact that “standing” is an essential characteristic, a stand-up meeting can be ideally integrated into everyday work. For this reason, many stand-up meetings also take place on a daily basis, as part of a daily stand-up meeting routine.

Effectiveness:

The short time frame and the support by a presenter make this type of meeting particularly effective.

Regularity:

Ideally, stand-up meetings take place regularly – for example daily or on a specific day of the week. However, the short time involved helps to ensure that this regularity is maintained in stand-up meetings compared to “normal” meetings.

Communication:

The regular exchange promotes communication between the individual team members. This in turn leads to better effectiveness and strengthens team spirit.

Understanding:

Thanks to daily or weekly stand-up meetings, the other team members get an idea of what their colleagues are doing, what challenges they are facing, etc. A fact that also increases mutual understanding and contributes to a positive atmosphere in the team.

Conclusion
